Estimated Length: 24 months Full-Time 8-hour shift between the hours of 8:00 am – 5:00 pm - discretion of the hiring unit

Desired Experience

  • Processing information and questions in an organized and logical manner.
  • Computing, classifying, and recording data.
  • Knowledge of Microsoft Office Software, including but not limited to, Outlook, Word and Excel.

Preferred Qualifications

  • The preferred candidate would have a fiscal background combined with excellent administrative, communication and organizational skills;
  • Ability to work independently and prioritize multiple assignments.
  • Previous experience working for a federally funded nutrition program, such as WIC.
  • Experience working in a fast paced, office setting, conducting a wide range of tasks to support program operations.
  • Experience working in a government setting.
  • Familiarity with New York State systems and specific terminology.
  • Experience with Microsoft Office Software, including Outlook, Excel, SharePoint and Word, Access and PowerPoint.

Responsibilities

Fiscal Duties

  • Act as a fiscal liaison between the Capital District Regional Office (CDRO), the Bureau of Supplemental Food Programs (BSFP) Fiscal Management Section (FMS) and local agency staff.
  • Review line item interchanges (LIIs) to determine the requests are accurate and appropriate, provide technical assistance to the local agencies as needed.
  • Working with the contract managers, ensure the first level of approval is entered in the BSFP Fiscal database; track the progress of LIIs in the Statewide Grants Gateway System.
  • Work efficiently and accurately to complete Capital District local agencies’ voucher traces assigned by the FMS.
  • Travel to local agencies to complete in-house voucher traces, including occasional overnight travel
  • Assist contract managers with the review of local agency annual budgets to ensure the accuracy of all funding sources, dollar amounts, and contract values.
  • Use the BSFP Fiscal database to track local agency spending throughout the contract year; determine budget line balances for three funding sources: Women, Infants and Children (WIC), Enhanced Peer Counseling (EPC) and Breast Pump, and provide this information to contract managers.
  • Oversee and manage the monthly submission of local agency Vacancy Reports.

Administrative Duties

  • Assist with organizing meetings, both onsite and offsite, for the CDRO with WIC Coordinators, and others.
  • Demonstrate an ability to accurately identify, analyze and solve problems; give appropriate attention to detail.
  • Communicate effectively with State staff, Local Agency staff, and external contacts in a polite, timely and professional manner.
  • Effectively manage multiple priorities, projects and tasks;
  • Comply with all agency executive policies such as time and attendance, computer use, phone use, etc.
