Requirements

  • Process incoming Medical Evidence Gathering Group (MEGG) mail:
    • Separate incoming mail into State Disability Review Team (SDRT) or MEGG batches
    • Individually stamp each piece of MEGG mail/correspondence
    • Sort and hand deliver mail to various staff such as Local District Support staff, the Bureau Director, or Intra-Agency staff.
    • Sort mail according to county, delivering all Nassau County cases to the assigned nurse
    • Open mail/correspondence and prepare paperwork to be scanned and uploaded
    • Assemble papers in proper order, create new file folders and personally deliver to Medicaid Eligibility Examiner 2 staff
    • Collect all outgoing MEGG mail and prepare for pick up at end of day
    • Follow Health Insurance Portability and Accountability Act (HIPAA) guidelines; be attentive and keep records confidential, at all times
  • Scan and Upload Documents
    • Transport mail/correspondence to Secure File Room, then scan each case into computer
    • Search cases in the Medicaid Disability Determination System (MDDS) and upload    
    • Documents into an electronic file
    • Contact counties for access codes to open VERISMA CDs
    • Update Case Log with an explanation regarding receipt of medical records
    • Send an e-mail to Supervisor if records relate to a “Closed Case” or “Case Sent to SDRT”
  • Inputs and Referral
    • Perform direct entry of paper cases for the SDRT daily, specifically reviewing all submitted documentation to ensure there is no duplication of client names and ensuring that there is no missing information that would delay the case from going to review in a timely manner
  • Filing of Medical Documentation
    • File letters, correspondence, medical documentation, and other information into client file folders continually throughout the day, in both the Secure File Room (for MEGG cases) and in designated file cabinets on SDRT unit for paper cases
    • File Medicaid Disability Determinations signed by physicians, at the end of each week
    • Every 3 months, check files to be deleted and account for all documents before shredding
  • Office Communications
    • Send out emails and faxes as needed, provide counties with copies of requested Medical Disability Determinations
    • Stuff and mail letters for the Third Party Department daily
  • Phone Coverage
    • Cover main line; direct calls to Local District Support, New York City, or Third Party Unit as appropriate; answer questions regarding Market Place and clients with restriction on medication

Additional Skill Level, Experience or Other Requirements:

  • Bilingual skills in Spanish to allow for professional interpretation of questions from Medicaid clients as needed.
  • The ability to develop and maintain professional relationships with supervisors of the various departments in the Medicaid Unit.
  • An attentive proofreader, excelling at detail-oriented tasks and have good name recognition skills.
  • Familiarity using scanners.
  • The ability to deal with “time sensitive” material and to be able to efficiently move disability applications through the process, preparing them for review in a timely manner and meet deadlines
  • The ability to handle sensitive medical information in a professional and confidential manner
