Estimated Length: 4 months M-F 8am-5pm

Requirements

Total Engagement: approximately 16 Weeks
 
Schedule:
- 40 hours a week/8 hours a day.  
Monday-Friday 8am - 5pm (some flexibility with time) with 1 hour unpaid for lunch.

Interviews may be via phone, MS Teams, in-person or a combination thereof.

Job Description:

The Payroll Specialist is responsible for utilizing available employee data and financial information to timely and accurately execute and record the payroll process within specific time restrictions.

ESSENTIAL FUNCTIONS:

  • Collect and ensure all employees’ timesheets have been submitted correctly.
  • Resolve payroll discrepancies by collecting and analyzing information and working cooperatively with supervisors.
  • Properly execute the payroll process using Highline HRIS.
  • Transmit ACH and positive pay files to the bank.
  • Complete required ACA reports and upload to data collection site.
  • Complete other payroll reports for distribution to appropriate departments.
  • Verify payroll changes to employee profiles.
  • Prepare financial vouchers for payroll expenses, deductions, and taxes.
  • Distribute checks to employees via internal mailboxes or direct mailing.
  • Maintain and organize payroll records.

ADDITIONAL RESPONSIBILITIES:

  • Provide additional support in Accounting Services such as: serve as additional back up to pay payroll taxes, journalize and post payroll records in Lawson accounting system, reconcile payroll accounts within Lawson accounting system, and preparing federal and state payroll tax returns.
  • Assist with preparation of reports for NYS Retirement System, pension, and other government-related reports.
  • Assist with reviewing outstanding payroll checks and following abandoned property procedures.
  • Process manual payroll checks as needed.
  • Other duties as assigned.

EDUCATION & EXPERIENCE:

  • Minimum of Associate’s Degree in Accounting or related field.
  • At least two years of experience working in payroll or related field.
  • An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.

KNOWLEDGE, SKILLS & ABILITIES:

  • Ability to perform a variety of routine duties involving the use of procedures and the application of clearly prescribed standard practice where the employee could make minor decisions and use some judgment.
  • Ability to work from objectives defined by supervisor or by explicit procedures and rules.  Proceeds alone on routine work and refers questionable cases to supervisor.  Finished work not regularly reviewed by supervisor.  Performance of tasks and activities are reviewed by supervisor on a scheduled basis.
  • Strong computer skills, including intermediate knowledge of Microsoft Excel and HRIS.
  • Basic math skills.
  • Excellent verbal and written communication skills; ability to communicate effectively with a diverse workforce.
  • Strong time management skills; ability to multi-task, manage priorities, and meet deadlines.
