Experience Required:

  • 2 years of relative work experience as detailed under the skills and responsibility section of the posting.

Skills Required:

  • Excellent organizational, written, and verbal communication skills.
  • Strong interpersonal skills.
  • Ability to use office machines including multiphone line, copier, fax/scanner.
  • Ability to handle a high volume of work in a fast-paced office environment and to meet deadlines.
  • Proficient in Microsoft Office programs (Outlook, Word, PowerPoint, Excel, Teams, SharePoint).
  • Ability to work independently and as part of a team, prioritize workloads, multi-task, flexible and complete assignments within short timeframes.

Responsibilities:

The Administrative Assistant will provide office and administrative support for staff of the Bureau of Early Intervention’s Provider Approval, Due Process and Monitoring Unit. Responsibilities will include:

  • Provides daily phone coverage for the Provider Approval, Due Process, and Monitoring Unit (PAU) phone line and triages questions to appropriate PAU or BEI staff/units.
  • Monitors the unit’s shared electronic mail log and accurately triages questions to appropriate PAU or BEI staff/units.
  • Scans and uploads documents
  • Tracks PAU documents, emails, requests, etc.
  • Assists with initial screening and tracking of individual applications.
  • Formats and types a variety of documents for PAU staff and reviews documents for accuracy. 
  • Creates and mail letters to early intervention providers each month.
  • Utilizes the State Data System to research, data enter, and review provider documentation.
  • Communicates with approved providers and applicants.
  • Other duties as assigned.
