Specialized Duties:

  • Responsible for presurvey packets, FOILs, waivers tacking, facility roster database, mortality database input, track incident reports – mandatory reporting’s.
  • Uses ASPEN and ACO for surveillance reports, ACO for complaint tracking, posting SODs and letters for surveillance activities, HCS for secure file transfer to DAL, EPOC.
  • Responsible for CMS uploads, QIES Casper presurvey reports, Life Safety Code reports, 2803d abuse cases to DLA, tracking of CAN training programs, emergency response – requesting of information from facilities.
  • Prepares letters (survey, complaints, PSR’s), closes complaints.
  • Maintains up to date program information on boards, log books and in ACO/ACTS.

 

Without these positions, programs must answer line would not be answered - public and providers at stake; reports would not be issued - residents in danger, health and safety of residents; FOILs and Enforcements would not be processed; impact on surveys being conducted – no presurvey prep; and mandated incident reports, death reports, waiver requests, requests for information on CON projects and investigations could not be monitored.

 

Hospital Program (CNY12)

Specialized Duties:

  • Triages complaints via the ASPEN Complaints/Incidents Tracking System.
  • Uses ASPEN Central Office to develop investigation kits for Hospitals, End Stage Renal Disease (ESRD) Centers, Ambulatory Surgery Centers, Rural Health Clinics, Diagnostic and Treatment Centers (D&TCs), and other healthcare facilities.
  • Enters Statements of Deficiencies and records Plans of Corrections electronically.
  • Uses the ACCESS database to track complaints. Close hospital complaint through ACTS and ACO databases, with authorized correspondence to regional hospital administration.
  • Assists in preparation of the monthly report for the Hospital Program.
  • Administers the Managed Care line, diverting the public to individual insurance carriers as necessary.
  • Maintains work survey rosters for ESRDs, D&TCs, Hospitals, etc. on behalf of the Director.
  • Maintain training logs and certificates for all hospital program staff.
  • Prepare and maintain Excel spreadsheets for all Emergency Approvals, Waivers, and new Certificates of Need.
  • Keep staff informed of all new COVID-19 related guidelines and vaccination regulations.
  • Responsible for record retention, scheduling of meetings with staff and/or hospital administration, and reserving hotels for staff going on hospital surveys out of town.

 

Without this position, the above duties would not be completed in a timely manner and would by necessity fall to a Nurse assisted by a student intern.This would be an unproductive use of the nurse’s time and effect other programs in which the nurse is engaged, such as complaint investigations.

 

BNE Program (CNY13)

Specialized duties:

  • Coordinate communication between police agencies and investigators.
  • Work with physicians, pharmacists and civilians to ensure proper reporting protocol is followed.
  • Maintain paper and electronic filing system within the Bureau of Narcotics.
  • Maintain confidentiality regarding investigations and personal information.
  • Ensure office is staffed and supplied with equipment and office supplies specific to the unit.

 

Without this position, required paperwork for criminal cases, marijuana cases and inspections would fall behind; reporting of criminal activity potentially missed due to phones not being covered; and office coordination and distribution would suffer and be the responsibility of the investigators.
