Requirements

Candidates should be highly-motivated individuals and able to work in a fast paced, high volume office environment.

Minimum qualifications include excellent working knowledge of Microsoft Office, specifically Word, Access and Excel or other comparable electronic databases.  Experience in scheduling meetings.  Ability to work in a team and handle multiple, shifting priorities; good organizational and proofreading skills.

Preferred qualifications include familiarity with and knowledge of the Certificate of Need (CON) process, NYSE-CON electronic database, CONSTAT database, Public Health and Health Planning Council (PHHPC), DSRIP, Executive Correspondence (ECU’s).  Extensive experience with scheduling a high volume of meetings and conference calls, use of the WebEx teleconference systems.  Data entry within electronic databases.  Visio or graphic design programs. Strong verbal communication skills, attention to detail and proofreading skills.  Prior experience working in a New York State Department of Health environment is preferred. 

Duties include performing administrative support responsibilities such as:

  • maintaining and updating various tracking, Access or NYSE-CON database systems;
  • preparing letters and generating weekly NYSE-CON reports;
  • Uploading accurate information into the NYSE-CON system for public use;
  • answering phone lines;
  • logging in and processing mail;
  • scheduling high volume of meetings;
  • receiving and processing mail and fax documents; overseeing Division BML logs;
  • processing CON application fees and preparing deposit slips;
  • Preparing electronic and paper files for Architectural waivers, CON and modification applications;
  • Formatting, preparing and printing agenda materials for cyclical PHHPC meetings;
  • Maintaining current Personnel organizational charts;
  • Receive and assign ECU’s to appropriate staff, proofread and track final drafts;
  • photocopying, scanning and faxing;
  • data entry;
  • maintaining paper and electronic filing systems.
