Responsibilities:
- Reporting to SEO Executive Director of Operations, the Operations Associate will provide budget and procurement support for the Special Education Office (SEO) which systematically identifies, shares, and builds capacity around effective specialized instruction and student supports across New York City Public Schools.
- Provides day to day operational support for a budget funded from a diverse portfolio of public and private grants.
- Provides day to day support to the SEO Operations Team and SEO program teams, as necessary in the areas of human resources, performance management, contracts, budget and procurement.
- Ensures compliance with daily administrative and financial operations to ensure adherence to DOE Standard Operating Procedures and utilize DOE financial systems to ensure transactional support and/or oversight of transactions such as:
- Utilizing FAMIS accounting system to facilitate encumbrances, payment certifications, change notices, journal entries, p-card management, and TRAC for employee travel, in line with budgetary, program and staff needs.
- Facilitating and/or supporting the general office requirements of OICL staff including seating allocation, network system access, business cards, payroll distribution and wireless/blackberry needs and other related staff needs.
- Assist in payroll data entry (i.e., per-session, per diem) and management of per-session/per-diem funding as well as any related transactions.
- Processes requests for office supplies, equipment, space and food, courier services, temp services, consultant services, and facilitates the payment of all invoices.
- Tracks, records, and monitors all operations activities including but not limited to inventory and consultant hours and ensures that regular status reports are provided to leadership for dissemination to SEO program team.
- Performs vendor inquiries and processes new vendors in FAMIS.
- Performs related work.
Qualifications:
Bachelor’s degree or Master’s in related field.

- Excellent verbal and written communication skills
- Experience implementing complex work streams with multiple stakeholders
- Proficiency in Microsoft Office applications (PowerPoint, Word, Excel)
- Excellent interpersonal skills dealing with education and non-education personnel
- Ability to prioritize and organize tasks based on deadlines
