Estimated Length: 24 months M-F 8:30am to 4:30pm Requirements Title: Administrative and Staff Assistant
Organization: Performance Management and Quality Initiatives Bureau (PMQI)/Data Services and Analytics Division (DDSA), Office of Health Insurance Programs (OHIP), New York State Department of Health
Work Location: One Commerce Plaza, 99 Washington Avenue, Albany, NY 12210, Room 820
Work Schedule: Full time (37.5 hours weekly), 50% remote / 50% in -office (negotiable)
Preferred Skills:
-Writing skills: emails, memos, advanced technical/business documents.
-Communication skills, interacting with staff at all levels, particularly senior executive staff.
-Ability to manage multiple priorities in a busy office setting.
- Experience with office technology, including MS Outlook email, Webex, Teams, Zoom meeting software.
Years of experience (minimum requirements)
-Preferred: 4-6 years of FT experience as an administrative assistant for senior/executive staff.
-Acceptable: 2-4 years of FT experience as an administrative assistant for a busy office setting.
Major Responsibilities:
-Answer the bureau/division phone and review requests for the bureau/division with leadership.
-Coordinate calendars for bureau/division leaders; alert leaders when staff coverage lapses occur.
-Schedule and coordinate coverage for meetings for the bureau/division leadership.
-Maintain contact lists; disseminate important organization-wide broadcasts to all staff.
-Lead point of contact for the bureau/division for space requirements (in cooperation with leadership), office technology procurement, and office supplies.
-Schedule the calendar, and manage the agenda, for the bi-weekly bureau/division meeting.
-Manage the bureau/division Sharepoint site.
-Contribute to the preparation of important business, technical requirements documents; manage the filing and version control for such documents.
-Participate in and manage the compilation of bureau/division policies and procedures.
-Other responsibilities as determined.
